Manage user access levels


You can manage user roles to give users different levels of permission for specific areas of Sage Active.

  1. Select Manage users from the list containing your business in the upper right hand corner.
  2. Edit the chosen user.
  3. Add or remove a Product and Role in the Roles and permissions section.
  4. Save your changes.
  5. Return to Sage Active by using the Back to product list in the upper left hand corner.

User access levels

Each predefined role has different access levels for the areas in Sage Active.

  • Manage: The user can read, create, update, and delete information.
  • View: The user can read information.
  • None: The user can not see the information in the user interface.

Sage Active roles

For the best user experience, Sage Active provides a number of predefined roles.

Your type of subscription defines which roles are available to you.

Administrator

The Administrator role has Manage access for all areas of Sage Active.

Subscription administrators
The business owner can define a user as a subscription administrator by checking User can manage subscriptions for all your businesses.
A subscription administrator can manage the Subscriptions for all businesses and has access to the invoices related to these businesses. This user can create new businesses and modify and terminate subscriptions.

Below you can see the access levels that are exclusively granted to the Administrator role.

Manage

  • General data (information like countries, job areas, payment methods, towns and so on)
  • Business and sales configuration
  • Business details (in the Manage business account menu)
  • Export for tax audit
  • API solutions
  • Users (Activity log and Pending invitations are only accessible to the business owner)
  • Subscriptions and invoices (Invoices view and Subscriptions are only accessible to the business owner and subscription administrators)
  • Payment and billing details (only accessible to business owner and subscription administrators)
  • Payment details (change) (only accessible to business owner)

 

Accounting practice client

The Accounting practice client role has the same rights as an Administrator (not business owner) with the following exception:

  •  Purchase invoices

 

Bookkeeper

Below you can see the access levels that are granted to the Bookkeeper role.

Manage

  • Chart of accounts and import standard chart of accounts
  • Journal entries (including reverse, transfer, journalize, renumber and matching) and bank transactions
  • Fiscal years and month-end closing
  • Year-end closing
  • Synchronising, connecting, disconnecting and reconnecting bank accounts
  • Customers
  • Suppliers
  • Employees
  • VAT returns, FEC files and exports for tax consultants
  • Importing third parties
  • Importing journal entries
  • Importing ledger accounts
  • Purchase invoices

View

  • Balance sheet and Profit and loss
  • General ledger report
  • Trial balance
  • Third-party balance
  • Invoice tax summary
  • Aging balance
  • Open items report
  • General data (information like countries, job areas, payment methods, towns and so on)
  • Business and sales configuration
  • Export for tax audit
  • Business detail (in the Manage business account menu)

None

  • Products and services
  • Importing products and services
  • Quotes
  • Orders
  • Delivery notes
  • Invoices

 

Sales and purchases administrator

Below you can see the access levels that are granted to the Sales and purchases administrator role.

  • Bank accounts and cash

  • Aging balance
  • Open items report

None

  • Chart of accounts and import standard chart of accounts

Read-only

The Read-only role has View access to all areas of Sage Active.

This role is usually provided to an auditor.
