Recording payments for third parties


You can quickly an easily record payments for third parties without having to search through journal entries or invoices. You can simply look up the required third party and record the payment directly from this screen.

This process creates the required journal entry and performs the necessary matching based on your choices.

The process for customers and suppliers is very similar. Both are described in the steps below.

Prerequisites
You have outstanding open items for the chosen third party.

To record payments:

  1. Access the Third parties.

    Third parties > Customers

    Third parties > Suppliers

  2. Open the list of open items (Record payment).
  3. Modify or choose the Payment date, Bank or cash account and the Amount to record.
  4. If the third party’s Payment terms state that the payment can take place in multiple instalments, you need to select one or more Open items that the payment settles.
    By default the oldest open item will be selected.
    When the Amount to record is greater than that of a single open item, additional open items will automatically be selected until the Amount to record is reached.
    When you manually select multiple open items , the Amount to record will automatically update to propose the total of the amounts for these open items.
  5. You can add a Journal entry description to easily identify the journal entry for this payment.
  6. Confirm.
